Your privacy matters to us at Fit For Life, and we're committed to handling your information responsibly. This policy explains how we collect, use, disclose, store and otherwise handle your personal data when you visit this website and use our services.

This website

This policy covers fitforlifemethod.com.au and the Fit For Life Method online coaching, running, Hyrox and nutrition services. It mirrors the policy published at fitforlifefitness.com.au, and the practices described below apply to both.

A few things specific to this website are worth stating plainly:

  • The enquiry form is hosted by our CRM provider. When you submit it, the details you enter are sent to and stored by that provider on our behalf, and reach us through the same system we use to manage client communication.
  • We do not run analytics or advertising trackers on this site, and we set no cookies of our own. The embedded enquiry form may set cookies necessary for it to function.
  • This site is hosted on Cloudflare, and its images are served from Cloudflare storage. Like any web host, Cloudflare records standard server log information, including IP addresses, for security and reliability.
  • Fonts are loaded from Google Fonts, which means your browser makes a request to Google, and Google receives your IP address as part of that request.
  • We do not take payments on this website. Any payment is arranged separately once coaching begins.

Personal data we collect and hold

We collect personal data so we can provide you with our services and share information about the products and services we offer. We make sure the personal data we collect from you is necessary for, and directly related to, this purpose.

The type of personal data we collect will vary depending on the circumstances in which we're dealing with you. It may include:

  • Personal details such as your name, gender, date of birth, residential and business addresses, telephone numbers, email and other electronic addresses;
  • If you have registered with us, information from your browser and our servers connected to the contact details you gave when you registered, such as username, profession or company, and other details relating to your relationship and dealings with us;
  • Information you voluntarily provide through responses to competitions, surveys, search functions, questionnaires, feedback, ratings and reviews, and the like.

Payment information: credit card information you provide online goes directly to our payment processor or bank — we do not have access to this data. If you purchase products or services from us, our third-party payment processors collect your payment information, and none of our personnel have access to it.

As a general rule, we do not collect sensitive information about you (such as information about your physical or mental health). Where we do need sensitive information for a lawful purpose — for example, to deliver our services safely — we will seek your consent before collecting it.

We collect personal data in a number of ways, including:

  • Directly from you — when you enter your details on our website (for example, through an enquiry form or a free trial application), provide information by phone, or in documents such as an application form;
  • From your representatives;
  • From our agents or service providers when engaged by us to do so, or from other third parties (such as referees) to verify information you've provided or to help us locate or communicate with you;
  • From sources where you've made your information publicly available;
  • From our own records of your dealings with us; or
  • When legally required to do so.

We make sure the way we collect data from and about you is lawful and fair in your circumstances, and we take all practical steps to inform you of what data you are obliged to provide, what data you may voluntarily provide, and what may happen if you don't provide data you're obliged to provide.

How we use the information you provide

This is information you give us when you enter your personal details on our website or contact us by post, phone, email or otherwise. We use your personal data to:

  • Identify you;
  • Create an account when you register with us;
  • Provide, administer and manage our services, and carry out obligations arising from any contracts entered into between us (such as online purchases);
  • Monitor use of our website so we can present content in the most effective way;
  • Conduct research and analysis, and gather feedback and reviews, to evaluate and improve the products and services we offer;
  • Communicate between you and Fit For Life;
  • Fulfil recruitment and staffing purposes; and
  • Provide you with information related to Fit For Life.

When you opt in to receive communications from us, you consent to us contacting you (depending on your selection) by email, direct mail or telephone, delivering personalised website experiences, and sharing information about relevant products, services, news and events.

If you later decide you no longer want to hear from us, you can withdraw your consent at any time by clicking the unsubscribe link in any promotional email, amending your communication preferences, or contacting us at [email protected]. Withdrawing consent won't affect our use of your personal data before you withdrew it, but it does mean we won't be able to contact you about services we may be able to offer in future.

We will let you know when you must provide personal data in order for us to perform an agreement with you or comply with a legal obligation. If you don't provide it in those circumstances, we may be unable to respond to your enquiry or engage in further communications with you.

Information we collect from third parties

We may use information provided to us by third parties that operate automated tracking technologies on third-party websites, information you have made publicly available, or information provided by third-party sources such as marketing opt-in lists or data aggregators.

If you don't provide your personal data

If you don't provide the personal data we ask for, or the information provided is incorrect or incomplete, we might not be able to provide you with our products or services.

Disclosure of personal data to third parties

We do not provide your personal data to any third parties other than as required by law or as set out in this policy. We will not sell, trade or rent your personal data to others.

We may, however, disclose your personal data for the purposes listed above or as otherwise permitted by law. By using our website, you agree to disclosures to the following third parties:

  • Related entities, commercial partners and affiliates;
  • Service providers, including the provider that hosts our enquiry form and customer records;
  • Companies and individuals we engage to provide promotional and informational offers on our behalf — such as email marketing, marketing assistance or consulting services. These third parties may access the information needed to perform their function, but cannot use it for any other purpose;
  • Advertisers, who may collect aggregated statistics;
  • Payment processors, who collect your payment information if you purchase from us;
  • Credit reporting agencies and financial institutions (including our bankers), our professional advisers (accountants, auditors, lawyers), insurers, and industry groups with a legitimate reason to receive such information;
  • Other persons we deal with in connection with the engagement of staff (such as training or medical providers, insurers, next-of-kin and referees); and
  • Other persons and entities as permitted under the Privacy Act.

Storage and overseas transfer of your data

If you provide personal data to us, it may be transferred to, processed in, stored at or accessible from a destination outside Australia — such as New Zealand, Canada, the USA or any other country where our service providers maintain facilities. We take practical steps to ensure all data is treated confidentially, kept secure, protected against unauthorised or accidental access, processing, erasure or other use, and kept no longer than necessary for its intended purpose.

How your data is held and protected

We only store personal data for as long as we consider it necessary or beneficial for the purposes set out in this policy, or for regulatory, audit or record-keeping purposes. We keep a record of the personal data you send us so we can answer your query, respond to requests for more information, or reply to enquiries from existing suppliers.

Keep in mind that internet transmissions (including email) are never completely secure or error-free, so take care in deciding what information you send to us electronically. Where you use passwords, ID numbers or other special access features, it's your responsibility to safeguard them — choose a strong password, don't reuse passwords from other websites, don't share your password, and remember to sign out and close your browser when you've finished.

Accessing and correcting your information

You have a right to access the personal data we hold about you at any time, subject to certain exemptions under the Privacy Act. If you'd like to request access to, or correction of, your personal data, contact us in writing using the details below.
